Print, Packaging, and Mail Planning Guide
Planning printed materials, branded packaging or a mailing for your organization? Tell us what you need to produce, how it will be used and when it needs to arrive. We can review your specifications, artwork and delivery requirements with you before you place your order.
Use the checklist below to prepare your request, especially if your project combines merchandise, inserts and packaging. Ask us to confirm the services, costs and schedule included in your quote.
Decide What Your Project Needs
Printed Materials
For flyers, postcards, rack cards and folders, specify the finished size, paper stock, finish and quantity. Note any folds, perforations or inserts that affect how the piece will be used.
Banners and Displays
Choose dimensions for the space and viewing distance. Include indoor or outdoor use, mounting requirements and whether you need hardware as well as the printed graphic.
Packaging
Measure the contents before choosing a box, bag or mailer. Allow for protective material and inserts, and identify which surfaces should carry your logo.
Direct Mail
Define the audience, mailing quantity and desired arrival window. Flag any names, messages or images that change by recipient, and confirm mailing requirements before finalizing the design.
Kits and Assembly
List every item in the kit, including printed inserts. Show the packing order and identify any versions with different contents, sizes or recipient messages.
Delivery
A bulk shipment to one office needs a different plan from individual packages to hundreds of addresses. Include destination counts, receiving restrictions and your required arrival date.

Plan Your Project With Us
- Write one project brief. Send us your specifications, quantity, budget and deadline. Name the person who will approve artwork and any changes.
- Check the full quote. Ask us which charges cover printing, setup, finishing, packaging, assembly, postage and freight. Confirm what you will supply and what your order includes.
- Review the proofs. Check spelling, contact details, dimensions, folds and logo placement. For personalized pieces, review sample records with different text lengths. Ask how color or material choices will be approved if a screen proof is not enough.
- Approve the final version. Keep a record of the approved artwork, specifications and recipient-data version. Confirm the production schedule after approval and resolve changes before work starts.
- Check packing and mailing instructions. Agree on kit contents, address handling, mailing method and handoff date. Share recipient files only through an agreed transfer method and include only the information needed.
- Confirm completion. Agree in advance on the shipment or mailing confirmation you need, how exceptions will be reported and who will handle returned or undeliverable pieces.
Mailing date and arrival date are different. If your campaign depends on recipients receiving a piece by a specific day, tell us at the start and confirm a suitable production and delivery plan.
